Hints and Tips for Club Secretaries
New Members:
When you have a new member pending, email the
and ask for a New Member Kit.
Be sure to include the member's name, the club name and the expected date of induction.
(I'll post the official form once I get a copy.)
Once the prospecive member actually joins your club, you should (in theory) logon to the
RI website and add
the new member (just put in their name and your club, so you can get a member ID).
Then goto the database and enter all the new member info. [ If you skipped the RI part, just use 0 for
the member ID, until they get their first Rotarian magazine with their ID number on it, or the next SARS
comes out. ] The database will send an email to RI with all the details (so you don't have to enter it twice).
The life of the SARS:
RI produces the SARS (Semi-annual Report of S) and sends it out to each club's secretary.
Your club's dues to RI are based upon the membership numbers in that SARS. You should add new members and delete
terminated members (NB: If you entered that fact on the district website, the report would be correct) and adjust
what your club owes. You need to return the SARS to RI, along with your dues payment, AND send a copy of the SARS
to the District Executive Secretary. The only way the District knows what you owe for district dues, is based upon
the copy of the SARS that you send to the district. The district will take that copy of the SARS and send you an
invoice for district dues, based upon your club's membership info.
